Item nine: Missing documents
The company filing system is continually failing to keep accurate records of employee
contracts. There have been a number of cases where we have got into disputes about
exact responsibilities and have been unable to come to any decision because of the lack
of documentation. Surely it is the responsibility of any filing system to keep these items
carefully? No one wants to discuss it and claims are being made that individual
departments should keep their own personnel records.
Item ten: Colour schemes
Part of the research block has been repainted with the aim, it appears, of 'improving the
working environment'. Why is there no overall control over office decor, and how can junior
managers just take it into their heads to change the office without clearance from senior
management?
Item eleven: Photocopying
The decision to give each department their own photocopier, and for each department to
pay its own photocopying costs, has been harsh. Some departments do not use the
photocopier, whereas others such as marketing and sales have high utilisations. With all
the number of copiers in the building there is also a great temptation for misuse. Surely it
would be better to have a central photocopying facility under the control of administration
so that all these anomalies would be avoided.
Item twelve: Light bulbs
Why is there no central store for light bulbs and other office requirements? When these are
needed we have to make a journey into town to buy them from departmental petty cash?
Surely this is the sort of thing that needs administration and control?
Item thirteen: Training
The way in which management are selected for training courses is arbitrary. Over the past
three months, six managers from marketing, sales and finance have gone on training
courses and only two from production. Some objective method of defining training needs in
the organisation should be established.
Item fourteen: Parking spaces
With the reduction in space in the factory complex there is an increasing shortage of car
parking. Though visitors spaces are allocated and kept clear management vehicles have
frequently had to be parked outside the factory gates on return from customers or external
meetings. Surely it would be more efficient for spaces also to be allocated to management
so that they can be assured of reaching the office, particularly when they have visitors with
them.
Item fifteen: Local charities
The company was approached to start an employee deduction scheme many months ago.
Nothing has happened. This is giving us a bad image locally especially when we have had
